Microsoft 365 (M365) offers an integrated and secure productivity platform that enhances information sharing, collaboration, and communication experiences using a suite of tools many of our people are familiar with such as Office, MS Teams, PowerPoint and SharePoint.
The onboarding of services has begun for some HHS staff, with full transition of our organization to M365 set to be complete by the fall of 2025.
There are many benefits to using M365 at HHS. It will improve the way we communicate with each other by having all communication channels under one banner, synchronizing those conversations into the tools you use every day. Staff will be able to access files from almost anywhere by having everything available in the cloud. This means you can edit documents from any device at home or at an HHS location. M365 also has more secure file storage capabilities keeping HHS and its staff safe from potential cyberattacks.
Multi-Factor Authentication
All staff and physicians must enable multi-factor authentication (MFA) on their device to enable a secure but seamless onboarding experience. Instructions are outlined on the HHS Hub page.
You will need to install the Microsoft Authenticator application from the Apple App Store (for iOS) or Google Play (for Android).
Note: the Microsoft Authenticator app is required since it is the only one that allows you to simply click on the approve button for MFA authentication. Your phone’s operating software must be supported by the vendor. Outdated models will fail in authentication process.

Outlook and Your Contacts
With M365, Outlook is much more than just email. It has more storage space for your emails and integrates seamlessly with MS Teams.
When you’re out of the office, you can access your emails from any computer through office.com, and using your personal mobile device so you never miss a thing.

MS Teams
Microsoft Teams (MS Teams) is the ultimate messaging app for your organization – a workspace for real-time collaboration and communication, meetings, file and app sharing, and even the occasional emoji! All in one place, all in the open, all accessible to everyone at HHS.
Please note that MS Teams will fully replace Skype and Zoom as the default application for non-patient related online meetings by September 2024, with the exception of Epic-integrated Zoom.
Guidance on MS Teams Apps for each device type
HHS-issued laptops
For Laptops provided by HITS, you should be able to access the local (desktop) version of Microsoft 365 Teams application for the best experience and performance.
If you are a user who relies heavily on email delegation, in order to see the Teams meeting button in Outlook, you will need to add the Teams Citrix icon in Citrix. You can add this yourself through the HHS app share portal
Personal computers, iMacs and Macbooks
For Mac and non-HHS devices, you may use the web version of the Office applications, including MS Teams, through office.com. You will not be able to use the locally-installed desktop applications.
However, you can install a Progressive Web Application (PWA) to get an optimal experience with MS Teams.
A PWA will have its own shortcut to launch directly from your app launcher. View PWA instructions.
Mobile devices, tablets and iPads
When using a mobile phone, tablet or iPad, you should download the Microsoft 365 application from the App Store (for Apple products, available for iOS versions 16 to 18 only) or Play store (for Android devices). Use your HHS credentials and MFA to login.
